The Order Process

Five steps,
one unbroken thread.

Every SHIBUI order follows this sequence. You will receive an email at each milestone. You pay when you place your order, and you have a 24-hour change window before production begins — this is what makes each piece genuinely yours.

Order & payment

You place your order via email or the request form on our shop page, and pay at the time of order. Your payment is processed and we send an immediate confirmation listing your item, size, colour, price, and estimated timeline. You then have a 24-hour change window: size and colour changes, or cancellation, are possible within 24 hours of ordering.

Production begins

Once the 24-hour change window closes, your piece enters the production queue. We notify you by email with your place in the queue and a refined delivery estimate. The undyed base garment is prepared and handed to our dyeing artisans in Kyoto. Kakishibu application requires multiple layers with drying intervals — this is where most of the time is spent.

Quality inspection & final drying

Your finished piece is inspected for dyeing consistency, seam integrity and measurements. Kakishibu requires a final sun-oxidation stage to stabilise the colour before packing. We send you a quality confirmation email at this stage, often with a photograph of your specific piece.

Packed & dispatched

Your piece is wrapped in acid-free tissue, placed in a SHIBUI-branded box, and handed to DHL. You receive an email with your DHL tracking number within 24 hours of dispatch. The package departs Japan and clears Japanese customs within 1–2 business days.

Delivered

DHL delivers to your address. A signature may be required depending on your region and package value. We send a follow-up email 3 days after confirmed delivery with care instructions and an invitation to share how your piece is ageing — the relationship between you and the piece is part of what SHIBUI makes.

Important note on shipping address

Please ensure your shipping address is complete, including apartment/unit numbers and any required local area codes. DHL cannot redeliver to incomplete addresses. We are not responsible for delays caused by inaccurate delivery information provided at time of order. If your address changes between order and dispatch, notify us immediately at [email protected] — we can update it until the piece is handed to DHL.

Customs & Import Duties

Taxes are the buyer's
responsibility.

We are required by Japanese law and international customs regulations to declare the accurate commercial value of your purchase on the shipping documentation. We do not under-declare values or mark goods as "gift" to avoid customs fees. Import duties, VAT, and handling fees charged by your country's customs authority are entirely the buyer's responsibility and are not included in your purchase price.

Our customs declaration practice

All packages are declared with accurate commercial value and described as "Hand-dyed cotton textile goods — kakishibu natural dye." The HS code used is 6109.10 (T-shirts, singlets and other vests, of cotton) or 6205.20 (men's shirts, cotton) as applicable. We never falsify customs declarations. Requests to do so will result in cancellation of the order.

SHIBUI pieces are made to order, hand-dyed individually after your order is confirmed. Because each piece is produced specifically for you — in your size, your colour choice, with your place in the dye sequence — it cannot be returned, resold, or redyed for another customer. We are transparent about this policy before you buy, because we believe informed customers make better decisions.

Colour expectation mismatch Kakishibu produces natural variation. Screen colour representation is approximate. Sample photographs are provided on request before order confirmation.

Size regret Size charts are provided in centimetres. We recommend taking body measurements and comparing against our size chart before ordering. Size-related returns are not accepted.

Customs fees / delays Import duties and delays caused by your country's customs authorities are outside our control and do not constitute grounds for return or refund.

Post-wash colour change Kakishibu deepens with washing and UV exposure. This is the intended behaviour of the dye. Post-wash colour changes are not defects.

Significant manufacturing defect Seam failure, mismeasurement against confirmed specifications, or structural defects present at time of receipt. Must be reported with photographs within 14 days of delivery.

Wrong item dispatched If we dispatch a different size, colour, or product than what was confirmed in your order, we will remake or refund at our expense.

Damage in transit If your package arrives visibly damaged, photograph the box and contents immediately, do not use the item, and contact us as soon as possible — ideally within 48 hours, and no later than 14 days after delivery. We will file a DHL insurance claim on your behalf.

Lost in transit If DHL tracking shows no movement for 10+ business days after dispatch, we will initiate a trace and, if the package is confirmed lost, remake your order at no additional charge.

Common Questions

Questions we've
heard before.

You pay at the time of order, and you have a 24-hour change window. Cancellation is possible within 24 hours of ordering. After that, production begins, the kakishibu dyeing process is underway and cannot be reversed — the piece is already yours in material form. To cancel within the window, contact us immediately at [email protected].
Size and colour changes are possible within 24 hours of ordering. Contact us as soon as possible — the window is narrow. After production starts, no changes can be made. This is why we encourage customers to measure carefully and ask us for a fabric sample before ordering.
Kakishibu is a natural, living dye. Every application produces slight tonal variation depending on the specific batch of tannin, the cotton's weave density, drying time, and UV conditions during oxidation. This is not a defect — it is the nature of the material, and it is what makes each piece unique. Screen colour calibration also affects how photographs render. If you would like a fabric sample before committing to an order, please ask us.
Yes — this is standard procedure in most countries. DHL acts as the customs clearance agent and may collect VAT and/or import duties on behalf of your country's customs authority before releasing the package. You will receive a notification from DHL with the amount due and payment instructions. This fee is separate from your SHIBUI purchase price and is your responsibility as the importer. See our Customs & Duties table for estimated amounts by region.
First, check with neighbours, building reception, or any safe-place locations specified in your DHL delivery preferences. Check your DHL notification for any note left by the driver. If you still cannot locate the package, contact us at [email protected] within 5 days of the tracked delivery date. We will open a DHL trace investigation. DHL insures all our shipments — if a delivery is confirmed as lost or misdelivered, we will arrange a remake or refund.
First, check your spam or junk folder for emails from [email protected]. If Email 02 is genuinely absent 3 business days after your 24-hour change window closed, contact us directly. Include your order reference number and payment confirmation. We will investigate and confirm production status within 24 hours.
DHL Express cannot deliver to PO boxes. For US military APO/FPO addresses, we can ship via Japan Post EMS instead — please specify this when ordering. EMS transit times are longer (2–4 weeks) and tracking is less granular than DHL. Contact us before placing your order if you require APO/FPO delivery.
Most customs holds are resolved within 1–3 business days once the appropriate duties are paid. If your package is held for more than 5 business days, contact us — we can provide additional customs documentation (such as a certificate of authenticity or material composition declaration) that may expedite release. If a package is seized or destroyed by customs (rare, and typically only for prohibited materials — which kakishibu-dyed cotton is not), we will work with DHL on your behalf to seek resolution.
